Free prompt pack · copy-paste ready · built by the BrainVaultAI team

Running a small business means ops work eats founder time constantly. These three prompts handle the most common ops drains: weekly status, vendor or client escalations, and writing SOPs your team will actually follow. Each prompt is self-contained. Use one, use all three. The SOP prompt alone saves 2-3 hours every time you need to document a process. No context setup needed, just fill in the brackets and send. They're written to give Claude enough structure to produce something usable on the first pass.

Prompt 1: Weekly Ops Rundown
You are my chief of staff. Write a weekly ops rundown based on what I give you. This week's inputs:
- What got done: [LIST]
- What's stuck: [LIST]
- Decisions I need to make: [LIST]
- Fires I'm dealing with: [LIST] Output format:
1. Wins (2-3 bullets, specific)
2. Blockers (each with a proposed resolution, not just a restatement)
3. Decision queue (each with a recommended call and your reasoning)
4. This week's single most important action Be direct. Write like a COO giving me a 5-minute briefing.
Prompt 2: Vendor or Client Escalation
Write a professional but firm escalation message for this situation: Context: [Describe the problem, who, what went wrong, how long it's been going on]
Relationship: [Vendor / Client / Partner, and how important they are]
What I want: [Specific resolution, refund, fix by date, explanation, etc.]
Tone needed: [e.g., firm but preserve relationship / hard deadline / final warning] Do not be passive aggressive. Do not over-apologize. State the problem, state what I need, state the deadline, state the consequence. Keep it under 200 words.
Prompt 3: SOP Builder
Write a standard operating procedure for this task: [TASK NAME] Here's how I currently do it: [Describe your current process in plain language, bullet points fine] The SOP should be usable by someone new with no context. Format:
- Purpose (one sentence)
- When to use this SOP
- Step-by-step instructions (numbered, each step actionable)
- Common mistakes and how to avoid them
- What done looks like Write for a smart person who has never done this task. No jargon. No filler. If a step has sub-steps, indent them.
